Tencia Document Management

Tencia Document Management provides functionality that saves files/documents into a managed folder structure linked specifically to Tencia master records and transactions. Tencia programs and lookups provide access to documents stored against the selected record, where files/documents can be added, removed, or viewed. These files or documents can be hosted under one of three different storage sources, Network Storage, Google Drive or Drop Box. Some examples of document digitisation within Tencia Document Management include:

  • Employment contracts
  • Employee Tax File Number Declaration
  • Employee Superannuation standard choice
  • Stock product data sheets including, assembly instruction, ingredient lists, hazardous chemicals fact sheets.
  • Supplier buying contracts and Heads of Agreement
  • Customer credit term agreements
  • Customer buying contracts.
  • Customer Direct Debit authority

Tencia Employee Expense Claim Automation

Expense claim automation lets you eliminate the most annoying aspects of processing employee expense claims. Employees can directly raise expense claims and upload copies of receipts via their smartphones, through the Tencia Employee portal. Managers can then approve, re-classify, or deny each expense claim before processing via Cashbook. The employee portal has been expanded beyond the payroll module to accommodate these functions (opening it up to non-payroll Tencia clients) allowing all employees to submit their claims with digital images of receipts.

Tencia SMS Features Overview

This video highlights Tencia SMS features, including, Overdue Invoice Reminders, Direct Marketing, Employee Notifications and Direct Messaging. SMS messaging has a high open-rate, making it more effective than using email. Studies show SMS has a 98% open rate and 90% of text messages are opened within 90 seconds, in addition research also reveals 76% of customers prefer SMS communications from a business over other channels. Tencia SMS services provides outgoing notifications and messaging from Tencia modules to complement existing processes, SMS messages can be composed via, a new Quicklinks Toolbar.

Tencia Business Intelligence

TenciaBI is a cloud based business analytics service that provides tools to analyse and share insights via pre-configured custom reports and dashboards. TenciaBI enables users to interact with agile, self-service intuitive tools to analyse data more quickly.

Tencia Contact Management

The Tencia Contact Management module has been developed to streamline and facilitate transparency of interactions with both customer and suppliers. This module is available Free to existing Tencia sites with a current software enhancement policy.

The key areas of the contact management module include additional details to be stored for contacts including: LinkedIn Profile URL; Twitter Handle URL; Facebook Profile URL; and additional email address plus more information.

The Tencia Contact Management module also offers centralised administration of contact details; the ability to record and track contact interaction and activity on an adhoc or recurring basis. Tencia Contact Management also assists in the managing of interactions via task list reminders.
